Float Secretary

Our client is recruiting for a Float Secretary for their prestigious offices in Torbay
You will ideally provide cover for all our clients departments and have experience in the following ;-
*Trained in secretarial practice.
*High word-processing and audio-typing skills.
*Previous experience as a legal secretary in a wide ranging area of legal work types.
*Up to date skills on Word, Excel, Outlook and various professional forms software; Practice Manager software experience would be an advantage
You will provide the practice with additional secretarial cover for holidays, sickness and additional cover to departments during particularly busy periods. If time allows they will also be required to assist all departments with file closing. The role will include but will not be limited to the main responsibilities given below. You will be expected to use a high degree of self-management and initiative.

*Preparing complex legal documents such as contracts and terms of business
*Photocopying, faxing
*The completion of standard legal forms
*File Closing
*To prepare correspondence and documents, through audio-typing and word processing and binding documents where necessary whilst providing a high standard of professional secretarial service.
*To prepare and seal mail and enclosures for despatch before post room deadlines
*Photocopy and copy documents as and when required.
*Copy typing of documents as and when required
*To prepare Interview Rooms for meetings and provide refreshments when asked to do so and deal with the tidying of the room at the end of the meeting.
*To provide support to other secretaries, fee earners and partners as required.
*To provide guidance to junior and temporary secretaries when required
*To attend clients and other professionals both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the firm's standards for client care.
*To send and receive emails on behalf of fee earners
*To prepare invoices and cashiers slips as instructed * To undertake any specific training when required to do so and to have a personal responsibility to identify own training needs which will help towards self-development.
*To ensure the confidentiality of all the firm's and clients' documentation and information.
*Ensure that the computer and any other equipment used are kept in a state of operating order.
*To take part in regular performance appraisal.
*To contribute to and work within a safe working environment.

Hours are - Monday to Friday 09.00 - 17.15
